Events & Marketing Coordinator

Location: Fort Lauderdale, FL (in office 2–3 days per week) Reports to: Sr. Director of Marketing

About the Role

BetterTracker is looking for a Marketing & Sales Coordinator to support event logistics, sales enablement, and marketing operations. This role is central to keeping our trade shows, workshops, virtual events, and campaigns organized and on track.

Event coordination is the primary focus. You’ll work closely with the marketing and sales teams to manage logistics, timelines, vendors, and deliverables across a variety of events. There’s also plenty of room for creativity in how we plan, promote, and execute events.

The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities. You’re someone who spots gaps early, solves problems, and keeps projects moving without needing constant direction.

What You’ll Do

Event Logistics — Primary Focus

• Coordinate trade show and conference logistics, including booth shipping, event materials, swag, signage, and event orders
• Support our regional workshop series, including venue coordination, registration tracking, attendee lists, and onsite logistics
• Manage logistics for virtual events, including webinar scheduling, setup, and registration tracking
• Track event timelines, deadlines, and vendor and sponsor deliverables
• Maintain event plans, status updates, and timelines in Monday.com
• Coordinate with BetterTracker teams, venues, vendors, and sponsors to keep deliverables on track
• Support onsite event execution as needed

Sales & Marketing Coordination

• Support HubSpot CRM housekeeping, including list management, event campaign tracking, and basic reporting
• Maintain and organize sales enablement materials, including one-pagers, sales sheets, and decks
• Coordinate event projects and tasks across Monday.com boards
• Create and update event collateral, social assets, and sales materials in Canva
• Support the setup and promotion of virtual and in-p
